MAX IV engages in a number of national and international collaboration projects, aimed at developing technologies and methods to improve offerings for scientific users. The MAX IV user office acts as an internal support and coordination function for these. Close project partners are all Swedish universities, our local environment in Lund with Science Village Scandinavia and the ESS as well as other European research facilities (e.g. through LEAPS and CALIPSOplus) and science excellence networks. Some of the projects are funded through the EC under H2020 programs.

As *Project coordinator (2 year)* you support the head of user office in follow up, reporting, and documentation of ongoing projects. You will support our collaborations in the initial initiative and proposal phase, during execution and in the final project closeout. You will engage with MAX IV scientific and engineering staff, as well as with our grant coordinator and project finance services. You will be responsible for following up on deadlines, scope and documentation of meetings and workshops, and collecting information for reports. You will have to edit and summarize reports, both in prose and tabularized form. 

Additionally, you will provide project support for the ongoing MAX IV strategy process.

You will work within the user office team, and get support as well as share some responsibilities, particularly regarding administration and logistics.

As a successful candidate for this position you have:

  • A scientific education background (master or PhD in natural sciences or another field of relevance for this position)
  • Experience working in scientific collaboration projects, in particular with project administration and coordination.
  • Very good command of common administrative / office tools, and, in particular, handle data in Excel with ease
  • You speak and write in English with very high proficiency (Europass C1-C2 level)

 As a person you are

  • an efficient communicator who is able to follow up on and collect information from others
  • you are good at compiling reports and documentation
  • you know how to write efficient agendas and minutes
  • you are a structured person and keep an eye on priorities and deadlines
  • you navigate complex sets of rules and contracts, as usual in EU projects, without getting lost in the details

Desirable:

  • Experience from grant application writing is a strong merit.
  • Experience from EU funded projects, and bi-/multilateral projects is a merit.
  • Experience with budget and legal aspects of larger projects is a merit.
  • Experience from organizing collaboration meetings and workshops is a merit.

We expect that most of the work is done during normal office work hours (we apply flexitime), but we expect flexibility in connection to travel for attendance of meetings and workshops.
