Research project and administrative assistant within the Horizon2020 project SO-CLOSE

This is a full-time position as research project and administrative assistant within SO-CLOSE. The employment is a permanent position from 15 January, 2021 and is based at Lund University, Sweden.

The Centre for Languages and Literature at Lund University is currently seeking to employ a person to assist Dr. Anamaria Dutceac Segesten, the local PI, with project, administrative, events and office-based tasks, within the Horizon2020 project SO-CLOSE. The opportunity will allow you to increase your understanding of the internal processes of EU projects and problem-solving skills in an academic environment. The assistant will be fully involved in all aspects of the project work, providing full immersion in the team and possibility to increase your professional network.

About the project
The project & administrative assistant is within the H2020 project “Enhancing Social Cohesion through Sharing the Cultural Heritage of Forced Migrations” (SO-CLOSE). The project contributes to social cohesion and fight refugee marginalization or exclusion by facilitating the encounters between similar life stories, through the mediation of innovative digital and artistic tools. Based on theories of cultural heritage-making, SO-CLOSE will improve social cohesion and promote mutual understanding between refugees and their local communities. Lund University leads Work Package 4, Implementation & Validation.

The specific objectives are:
• To implement and test the digital toolboxes in several locations
• To document the process of local adaptation, local content co-creation and testing
• To generate co-created content that fills the digital tool “shells” designed in WP3
• To address the on-site problems that might occur and include them in a troubleshooting section of the how-to manual.
• To evaluate the quality of the tools and of the process

Mission
To support the implementation of SO-CLOSE’s activities, according to SO-CLOSE’s work plan:
• Support the PI during the implementation and reporting of EU funded projects,
• Support the SO-CLOSE team with office and administrative tasks.
• Support the organisation of SO-CLOSE four pilot projects.

Tasks

• Prepare contractual and administrative documents for project experts and speakers,
• Liaise with experts, speakers and project partners to communicate assignment conditions,
• Manage invoices, reimbursements and related documents according to project requirements in cooperation with the local economy team,
• Maintain order in project folders, documents and paperwork (both hard and soft copies),
• Compile and prepare documents, reports and invoices for project’s events and the financial reporting phases under the supervision of the PI.
• Support in administrative ad hoc tasks such as maintain administrative databases (excel).
• Gather, scan and file documents (contracts, attendance lists, feedback forms etc), as required.
• General or specific support/services to the SO-CLOSE team.
• Support the PI and the SO-CLOSE team with logistics in the run up to, on the day of, and following the pilot events.
• Compile documentation for the events.
• Liaise with speakers and delegates, if necessary, and answer their questions.
• Evaluate feedback and draft and publish an event report based on this feedback post-event.

Requirements
• English proficiency is a must (native or near-native fluency);
• Advanced computer skills required, particularly of MS-Office package (Excel and Word) • Ability to cope with diverse tasks.
• Good organisational and time management skills.
• The candidate should demonstrate coordination, planning, organisation, monitoring and follow-up skills as well as a strong eye for detail.
• Positive and open-minded work attitude, both towards team and independent work.

The following would be highly valued:
• Some initial experience working with EU Institutions
• Project management skills
• An interest/experience with migration and refugee issues and/or cultural heritage.
